Keeping a Sales KPI Dashboard Free of Orphaned Leads
Cleared a dashboard's stale rows the instant their source ClickUp task got deleted.
Manually auditing Airtable for orphaned KPI rows left behind by deleted ClickUp tasks
~1 hr/week
The Challenge
Deleting a dead lead's task from ClickUp left a matching row behind in the Sales KPI Dashboard's Airtable base, since nothing told Airtable the source task was gone. A small data-hygiene gap that quietly built up stale entries over time.
The Solution
Adapted from a small, now-retired n8n workflow, worth including here since it's exactly the kind of cleanup step other automations tend to skip, the same logic runs in Zapier as a ClickUp trigger on Task Deleted, scoped to the sales list, followed by an Airtable search action that finds the record whose ClickUp Id field matches the deleted task, and an Airtable delete action that removes it.
How It Works
The Results
The KPI dashboard never builds up stale rows for leads that no longer exist in ClickUp, and nobody has to manually audit Airtable for orphaned entries.
Tools & Technologies Used
How To Create This
- Trigger the Zap on ClickUp's Task Deleted event, scoped to the sales list
- Add an Airtable 'Find Record' search matching the deleted task's ID against the KPI Dashboard's Leads table
- Add an Airtable 'Delete Record' action to remove the matching row
