Real-Time Close CRM to Airtable Lead Sync With Self-Monitoring
Made Airtable mirror Close CRM in real time, in plain language, and self-monitor for failures.
Manually decoding Close's field IDs and pipeline-stage codes, and checking whether the two systems had drifted out of sync
~4 hrs/week
The Challenge
Close CRM stored leads behind cryptic custom-field IDs and numeric pipeline-stage codes that meant nothing to anyone reading the Airtable copy. And if the sync between the two systems ever broke, it could go unnoticed for days unless someone happened to check for it.
The Solution
The n8n version ran the mapping logic in code, with a parallel error-handling branch. Make handles both halves just as cleanly. A Custom Webhook module triggers on Close CRM's lead-created-or-updated event, and an HTTP module fetches the full lead record from the Close API. A chain of Set Variables and Router modules resolves each custom field by its API ID or human-readable label, translates the numeric pipeline-stage code into something readable against a 16-entry stage map, and filters tags down to just the qualification statuses that matter. An Airtable module upserts the result, matched on the Close Lead ID, and Make's built-in error handler wraps the whole scenario, so any failure gets formatted and posted straight to an internal Slack ops channel instead of failing silently.
How It Works
The Results
Airtable now stays current with Close CRM automatically, with every custom field and pipeline stage already translated into something a human can read at a glance. And if the sync ever breaks, the team hears about it the same day from a Slack alert instead of noticing a stale lead weeks later.
Tools & Technologies Used
How To Create This
- Trigger the scenario on a Custom Webhook module subscribed to Close CRM's lead-created-or-updated event
- Use an HTTP module to fetch the full lead record from the Close API
- Add Set Variables and Router modules to resolve custom fields by ID or label, map the pipeline-stage code to a readable name, and filter tags
- Upsert the mapped lead into Airtable, matched on the Close Lead ID
- Attach Make's built-in error handler to the scenario so any failure posts a formatted alert to an internal Slack channel instead of failing silently
